How EyeAdvisor works

The system behind better patient conversations.

EyeAdvisor combines conversation intelligence, practice-specific data, and experienced human coaching to help ophthalmology teams see what is happening, decide what to improve, and measure whether it actually changed.

Why the system exists

A dashboard cannot coach a team. A workshop cannot see every consult.

Most approaches to improving patient conversations solve only one part of the problem.

A consultant can hear a handful of conversations and give excellent advice, but they cannot sit inside every consultation indefinitely.

Software can process every conversation, but a dashboard cannot understand the culture of a practice, build trust with a counselor, or decide which change the team should focus on first.

A script can create consistency, but it can also make good counselors sound less human.

Use technology for the work technology is uniquely good at. Use experienced people for the work people are uniquely good at.

AI gives the practice visibility at scale. Longitudinal data turns individual conversations into patterns. Human coaching turns those patterns into practical improvements. Then EyeAdvisor keeps listening to see whether those improvements actually made it back into the room.

That feedback loop is the product.

EyeAdvisor system: consults, intelligence, patterns, and coaching as one loop
The system

Record. Understand. Coach. Improve. Repeat.

This is one connected journey, not a list of products. Each step exists so the next one can do its job.

Step 1   Record

Start with the conversations already happening.

EyeAdvisor begins with the consultation itself.

The practice does not need another workflow that asks counselors or surgeons to reconstruct what happened after the patient leaves.

Capture the real conversation as it happens.

Practices can record with Plaud NotePin S, Plaud Note Pro, or a laptop, PC, or mobile device. EyeAdvisor's workflow is built to capture the conversation in the room.

Once the consult is captured, EyeAdvisor can begin turning a private conversation into something the practice can learn from.

Step 2   Understand

One consultation is a story. Hundreds become intelligence.

A single consultation can tell you why one patient hesitated.

A month of consultations can tell you whether the same hesitation is appearing again and again.

EyeAdvisor uses AI to structure what happened inside each conversation, then builds a growing data layer from the practice's own consults.

Over time, the practice can begin to see patterns such as:

  • Questions patients repeatedly ask
  • Objections that appear most often
  • Where conversations lose momentum
  • Which explanations create confusion
  • Differences between counselors
  • Differences between surgeon-counselor combinations
  • Procedure-specific concerns
  • Language used by the strongest communicators
  • Follow-up opportunities that would otherwise disappear

The value is not merely knowing what happened. The value is learning what repeatedly happens inside your practice.

The part software cannot replace

The data tells you what is happening. A coach helps decide what to do about it.

Cindy Koehler, Director of Conversion Enablement

Seeing forty opportunities is not useful if the team does not know which three to work on first.

That is why EyeAdvisor includes experienced human coaching as part of the system.

Cindy Koehler, EyeAdvisor's Director of Conversion Enablement and a ten-year veteran ophthalmology counselor, works from the conversations the practice is actually having.

She uses the system's AI to identify trends, which is how she and her team can work with many practices at once.

Not a generic workshop. Not a canned script. Not advice based on what someone remembers hearing three weeks ago.

The coaching starts with real consults, real patients, recurring patterns, and the specific moments where the team can improve.

The goal is not to make counselors sound identical. It is to help each counselor become a stronger version of themselves while giving the practice a more consistent standard of patient education and conversation quality.

Software finds the pattern. Human experience turns it into a plan.

New counselor training

Practice the consult before the patient is in the chair.

Coaching works from the consults your team is already having. New refractive and cataract counselors also need a place to rehearse before they are in the room with a live patient.

That is what EyeAdvisor's counselor training is for. AI Role Play and the Counselor Academy are part of EyeAdvisor.

  • AI Role Play. Pick a cataract or refractive AI patient, run the consult out loud, and get scored on what you uncovered and where you got stuck.
  • Counselor Academy. A guided walkthrough, then nine simulations across customizable levels, each built around a moment real consults hinge on.
  • Road to Certified. One view of where each counselor stands across the nine simulations and the five skills every consult depends on.

The AI Roleplay Consult Challenge is free: one 15-minute consult with an AI patient and an instant AI scorecard.

In the room

Some coaching should not wait until next week.

EyeAdvisor's improvement loop does not only operate after the fact.

Live Consult Coaching can surface the concerns, questions, and options that still need attention before the patient leaves the room.

The counselor remains in control. Nothing replaces the human conversation.

EyeAdvisor simply helps make sure the team does not discover an unanswered concern after the patient is already in the parking lot.

This is the fastest version of the feedback loop: Hear the gap. See the gap. Fix the gap while it still matters.

After the consult
Consult-based follow-up continuing the original conversation

Follow-up should continue the conversation, not restart it.

When a patient leaves without scheduling, most follow-up starts with almost no context.

A name. A date. Maybe a note that says "wanted to think about it."

But EyeAdvisor already heard the conversation.

The practice can see what the patient cared about, which options were discussed, where hesitation appeared, and what may still need an answer.

That turns follow-up from a generic check-in into a continuation of the actual consultation.

For cataract practices, the same intelligence can also reveal appropriate opportunities to revisit premium options when the original conversation suggests there is more to discuss.

EyeAdvisor is Different

The next consultation tells you whether the coaching worked.

Most training programs end when the meeting ends. EyeAdvisor does not.

After the team changes something, the next consultations are recorded too.

Now the practice can see:

  • Did the new question actually get asked?
  • Did the explanation become clearer?
  • Did counselors handle the objection differently?
  • Did the team adopt the coaching consistently?
  • Did the pattern improve?
  • What should we work on next?

Conversation→ Intelligence→ Coaching→ New Conversation→ Measurement

The goal is not a one-time lift. The goal is a practice that develops its own improvement muscle.

For multi-location groups

Turn your best room into a standard the entire organization can learn from.

The same improvement loop becomes even more valuable when a group operates across multiple locations.

EyeAdvisor can help leadership understand how patient conversations differ between markets, counselors, teams, and locations without relying on a trainer physically sitting in every office.

The goal is not to flatten every market into the same script. It is to identify what the strongest teams do well and make those lessons visible across the organization.
